How to Invite a Vendor to PaymentWorks

Follow these instructions to invite a Vendor to register for PaymentWorks.

  1. Login to PaymentWorks here.
  2. Use your UCLA Single Sign-On ID and password to sign in.
  3. Watch this video to learn how to create and send an invitation to a vendor in PaymentWorks.
  4. After you send the invitation in PaymentWorks, your vendor will receive an email invitation from PaymentWorks. Click here to view the Sample PaymentWorks Invitation to Vendor.
  5. When your vendor completes the registration in PaymentWorks, the registration information is validated (e.g., Tax ID information, check against sanction lists, etc.) by PaymentWorks.
  6. After validation by PaymentWorks, the registration information is available for the UCLA vendor management team to review. The UCLA vendor management team will review the vendor registration. If there aren’t any issues, the vendor management team will create the VCK in BruinBuy. If there are questions for the vendor, or issues with the registration, the vendor management team will send a message to the vendor via PaymentWorks.
  7. After the VCK is created in BruinBuy, the VCK information is uploaded daily into PaymentWorks.
  8. You will then receive an email from PaymentWorks informing you that the VCK is available for use.
  9. You can search in BruinBuy or PaymentWorks to find the specific VCK. The VCK will appear in PaymentWorks for the vendor, after you receive the email from PaymentWorks.
  10. As shown in the Initiator Video, you are able to track your vendor’s onboarding progress and registration status via PaymentWorks.
